Ufora Privacy Statement
Who is the controller and how can you contact us?
Ufora is the official digital learning environment of Ghent University. Ghent university is the controller. Ufora is used by students, teachers and education support staff (‘Ufora users’).
Ufora is based on D2L’s online Platform Brightspace. Ghent University has negotiated the correct guarantees and rules with Brightspace to ensure that the protection of personal data and other confidential information within Ufora is of the greatest quality.
For questions, comments or specific suggestions about the processing of your personal data in Ufora, you can contact the Ufora team or Ghent University’s Data Protection Officer.
Which personal data are processed?
Ufora processes three types of personal data:

User data: first name, surname, username (Ghent University login), e-mail address, language, profile picture, and time zone.

Content data: study materials, submitted assignments, posts in forums, test answers

Action data: registration of certain actions on Ufora, such as the uploading of study material, the submitting of an assignment, the completion of a test.
Ufora does not process special categories of personal data (‘sensitive data’) from which race or ethnic background, political preference, religious or philosophical beliefs, or union membership may be deduced, nor does it process genetical data, biometric data which could serve the unique identification of a person, or data about health or related to a user’s sexual orientation or activity.
Goal and legal basis of the processing of your personal data
The aforementioned data are processed with the greatest care and attention, so as to realise the execution and support of Ghent University’s legal education mission, and to ensure and improve the correct functioning of Ufora. Seen as Ufora can be used in many teaching assignments, the processing of personal data can be based on the legal education mission, but also on the general interest.
The content data are used in the context of the educational process, in line with the course sheet.
The action data can be used to ensure and improve the correct functioning of Ufora. A limited subset of these data can also be consulted by teachers and used for the optimalisation and personalisation of students’ learning environment and learning experiences. Where possible, these data are only offered in aggregate form. These data may not be used for the evaluation or control of students.
The personal data from Ufora can be used in the context of scientific research conducted at Ghent University, with the goal of educational innovation and the publishing of scientific articles. Personal data used for scientific purposes are always pseudonymised by the application of suitable technical and organisational measures such as processing data at a high aggregation level, which makes it impossible to identify individuals in any possible publications.
Who has access to your personal data?
Every student at Ghent University has access to a limited subset of data (first name, surname, picture, e-mail, role) of other users if these users are enrolled in the same course. This acces is granted to realise the education process and attain the educational targets.
Every course administrator (teacher) has access to a limited subset of user data and content data, as well as a limited subset of action data of the students who are enrolled in the administrator’s course. For the user data this includes first name, surname, picture, e-mail, student- or staff number and role. This access is granted to realise the educational mission. For the action data, course administrators only have acces to the data that may help optimalise and personalise students’ learning environment and learning experiences.
The Ufora team only has access to the aforementioned personal data on a strict “need-to-know” basis. This access only counts towards the goals described in the aforementioned privacy declaration.
Ufora exchanges personal data with a few external tools:

PeerScholar is used to support Peer Assessment, Peer Review and Peer Evaluation.

Curios is an Online Test Environment developed by Ghent University.

Sharepoint is used as an online collaboration space for courses, in which students and teachers can share documents and notes with each other.

The Ghent University video platform is used to make knowledge clips and class recordings available to course users.

DUGA is used to create an online environment for questions about the study material. The diversity of questions and the feedback one gets afterwards give a good overview of one’s own learning process and creates a fun addition to the study process.
Ufora makes sure your data are not given to third parties, except for if you have previously explicitly consented to this or if the access, the use, the storage, or the disclosure of our date is necessary (e.g. to comply with the regulations which are in place, to detect technical issues, to protect the rights, property and safety of Ufora, etc.).
How long are your personal data processed?
Your personal data are processed as long as is deemed necessary to attain the goal of the education process and its administrative handling. This is necessary to keep following up the progress of Ufora users throughout their learning and education trajectory and to keep offering better service to users.
Log files are only stored by Ufora for 6 months, after which they are automatically deleted. These log files will only be consulted during these 6 months to detect and remedy technical issues.
Safety of your personal data
Ufora takes good care of your personal data and provides suitable technical and organisational measures to protect your personal data from any form of loss or unlawful processing.
Which rights do you have regarding the processing of your personal data?
With the processing of you personal data by Ufora you can, under certain circumstances, exercise different rights such as the right to access, consult and limitation of the personal data that are processed. For the exercise of these rights you can turn to the Ufora team, which will answer your request in under one month. To obtain assurance about the merits of a request or the identity of the requester, you can ask the Ufora team for additional information.
Ufora reserves the right to deny requests which are unreasonably repeated, require a disproportionate level of technical support (such as the development of a new system or the application of fundamental changes in an already system) or jeopardise the privacy of others.
