Exchange programme for incoming students
Exchange students are students that only stay at UGent for a limited time as part of an exchange programme (for example Erasmus) but are registered and pursuing their diploma at their home university.
Applicants that are not enrolled as students in their home university should contact the hosting UGent department. They will need to arrange your registration as a visitor.

Submission deadlines
- Exchange for regular curriculum components (courses, thesis): consult the submission deadlines before the start of the application procedure for studies
- Exchange for a research stay: submit your application at least two months prior to arrival

1. Learning Agreement
There are different versions of the learning agreement according to the type of exchange. Please use the the table below to select the correct learning agreement template.

2. Language requirements
Applicants need to provide one of the following certificates (these Faculty of Bioscience Engineering requirements differ from the general UGent rules):
- TOEFL IBT 80
- TOEFL PBT 550
- ACADEMIC IELTS 6,5 overall score with a min. of 6 for writing
- CEFR B2 Issued by a European university language centre
- ESOL CAMBRIDGE English CAE (Advanced)
Please note that for an internship or master thesis, these rules can be overruled by the promoter at the UGent hosting department.
A certificate indicating English was your language of instruction is no longer accepted.
Exemption language certificate
- Applicants who obtained a diploma (Secondary Education, Academic Bachelor Degree, Master Degree) at an institution in the Flemish Community
- Applicants who are nationals from or have obtained a bachelor and/or master degree in a higher education institute with English as mode of instruction in USA, Australia, New Zealand, United Kingdom, Republic of Ireland or Canada. Latter a certificate that the mode of instruction was English has to be submitted.
3. Transcript of records
An official list of the courses you followed with exam results issued by your home institute.
Application procedure
The application procedure differs depending on the type of exchange you choose (you are able to combine the different types of exchange).

Courses
- Check our faculty rules concerning courses and courses offered at our faculty here.
- Make sure the selected courses do not overlap in time (course schedules to be found in the upper right hand corner of the study guide screen)
- Complete the online application procedure .
Master dissertation
- Check the faculty rules concerning master dissertation
- Complete the online application procedure
- Add the master dissertation to your paper based Learning Agreement (it is not possible to add it in the online system)
Internship/research stay
- Check the faculty rules concerning internship exchange
- Complete the following steps of the online application procedure .
- Add the internship exchange to your paper based Learning Agreement (it is not possible to add it in the online system).
