Examination office
During each examination period, the Faculty Student Administration (FSA) sets up an Examination Office where students can report:
- changes to the exam schedule;
- all events which may jeopardize the exam schedule or prejudice the smooth course of examination proceedings.
Exam schedules
As soon as the exam schedules are available, this will be communicated via Ufora. Please note, changes are possible until the following dates the latest:
- First-term examination period: 29 November 2024
- Second-term examination period: 21 March 2025
- Resit examination period: 16 July 2025

Examination outside examination period
At the faculty of Bioscience Engineering, examinations outside the examination periods can be organized for incoming and outgoing exchange students. Students who wish to make use of this: please consult Art. 2 §6 of the Faculty Vademecum.
Remote examination
In exceptional circumstances exams can be organized from a distance. Lecturers faced with a question of students to pass a remote exam follow the procedure described in the Faculty Vademecum.
Illness or force majeure
In the case of justified absence a catch-up exam within the same examination period is made in consultation with the lecturer. The procedure to register your absence can be found here.
Overlap between exams
Overlap between exams, other than catch-up exams, within a GIT or model track with elective courses (including major/minor courses). Overlap means that 2 or more exams are held on the same day. The student must give priority to the previous course unit in order of the model track years or the duty course (in the case of model track).

Prolongation of the residence permit
Each academic year, international students who wish to re-enroll must submit a document to the Migration Office to show their study progress. This document can be found on OASIS. The migration office is also asking for the transcript of records, to find out whether the student participated in all examination opportunities or not. Not taking part in an examination can be considered an unauthorized way to prolong the study period, thus prolonging the residence permit. Therefore, international students should be aware that it is important to participate in all examinations. An ‘absent’ mark will not be accepted.
Registration participation resit exams
For each resit exam at UGent in which you will participate, you will have to register.
With this procedure, we want to optimise the exam logistics and make sure they run as smoothly as possible, e.g. by providing a more accurate number of exam copies.
Registering for exams during the resit exam period:
- via oasis.ugent.be
- go on the left to academic year 2024-2025
- click on Schedule groups
- select Period Exams3
- select which exams you want to retake and click on Save
Your exam schedule will show all exams, whether you have registered for them or not

Q: What happens if I forgot to register before the deadline?
A: Even then, you are still entitled to your second exam opportunity. We will put in place a procedure for late registration but please don't wait for that. If you intend to participate, please register in time.
Q: I did not register for an exam. Do I have an extra exam opportunity now ?
A: No. If you do not participate, you forfeit your resit exam and you will not get an extra exam opportunity at a later date.

You will find your examination results in Oasis following the closing of the relevant part of the examination period.

All students can see the examination results on Thursday 6 February 2025 at 17:00.
First examination period, second term
For the Bachelor programme on Wednesday 2 July 2025 at 17:00.
For the Master programmes on Thursday 3 July 2025 at 17:00.
Second examination period
All students can see the examination results on Thursday 11 September 2025 at 17:00.

Can I graduate in February?
An Examination Board holds deliberations at least twice per academic year:
− a first time at the end of the second-term exam period
− a second time at the end of the resit exam period
Every year in February, after the first-term exam period, an additional deliberation is held for students in a graduation year of a Bachelor's programme, a preparatory or academic bridging programme and a Master's programme who have at that point sat all their exams. Article 71 (Passing a study program) shall be applied in full.
Exam opportunities (Art. 55)
Students are entitled to use their second exam opportunity during the resit examination period for any course unit for which they have not acquired a credit certificate during the first-term or second-term examination period (you cannot resit an exam in the resit examination period for which you have already obtained a credit certificate).
In case a fail mark has been deliberated in accordance of Article 67 or Article 71, the deliberation decision/diploma decision taken during the first opportunity examination period is retained, including, where appropriate, the grade of merit that was awarded. If they pass after the resit examination period, this pass mark can only result in a credit certificate for the course unit in question. The diploma supplement contains the mark that was awarded after the period of the first exam opportunity.
Students who wish to have their exam mark from the resit examination period taken into account for the calculation of their grade of merit when obtaining a diploma for the study programme in question, must waive the deliberation decision/diploma decision of the first opportunity examination period. Vis-à-vis those students a new positive deliberation decision/diploma decision is taken in the resit examination period, which then replaces the decision taken in the first opportunity examination period. In any such case, the most recent exam mark is factored in when determining the grade of merit, and is also included in the diploma supplement. Students who wish to avail themselves of this provision, must notify the Examination Office before the start of the resit examination period.
Deliberation (Art. 67)
In accordance with Art. 67 of the Education and Examination Code, if the student has obtained a pass mark for every course unit in the deliberation set, i.e. at least a 10/20 the Examination Board will pronounce the student to have passed the deliberation set in question.
A student enrolled in the first deliberation set of a Bachelor’s programme can also be pronounced passed if said student meets the following cumulative conditions:
- the first deliberation set only contains course units programmed in the first standard study track year of a Bachelor's programme;
- the deficit for passing one or two course units amounts to no more than 1% of the weighted total of the deliberation set in which the ECTS credits are used as weights1. The deficit is calculated by multiplying the course unit’s exam mark with the number of ECTS credits attributed to the course unit;
- the student has used the most recent exam opportunity for the relevant course unit;
- the student has obtained a minimum of 8/20 for all the course units in the deliberation set;
- the student has obtained less than 10/20 for no more than two course units in the deliberation set in question;
- the student has obtained a minimum of 50% for the deliberation set.
Passing a study program (Art. 71)
You pass for the study program if you have obtained a credit certificate for all the course units in their curriculum (cf. Article 57) or an exemption, and/or must have been pronounced to have passed all the deliberation sets belonging to said study programme (cf. Article 67).
Any student enrolled in the graduation year of a Bachelor’s programme, a preparatory or an academic bridging programme, an initial or advanced Master’s programme, will also pronounce to have passed if the following cumulative conditions are met:
- the student has taken up in their curriculum any remaining course unit in order to pass said study programme;
- the deficit for passing one or two course units amounts to no more than 6 weighted marks, whereby the ECTS credits are used as weights. The deficit is calculated by multiplying the course unit’s exam mark with the number of ECTS credits attributed to said course unit;
- the student has obtained a minimum of 8/20 for all the course units;
- the student has obtained less than 10/20 for no more than two course units;
- the student has used the most recent exam opportunity for the relevant course unit;
- the Master’s dissertation and the mandatory work placements can never be deliberated.
Material error
If you suspect that a exam mark is incorrect, we advise you to attend the feedback session of the course. If the lecturer deems that the exam mark should be altered, the FSA will recifity the result according to Art. 65 of the Education and Examination Code.
Feedback
Feedback involves a review and explanation of students evaluation(s) to the students concerned. As part of this process, students are also provided with recommendations intended to uprate, improve or redress study performance with a view to taking part in future evaluations.
Throughout the feedback period after every (part of the) examination period, students are entitled to see and go through their examination copy.

Re-enrolment
You can re-enrol online from the day after your proclamation via Oasis.
Graduation ceremony
Final-year master students will receive an invitation for the graduation ceremony on their Ghent University e-mail account.
The graduation ceremony will be held on Saturday 20 September 2025.
