My role as chair of the Examination Board

  • The entire process after the dissertation is ‘submitted’ is through Plato. You will be able to download the uploaded dissertation there and consult the reports. All communication also takes place through Plato. For more information on the template to be completed in Plato, see the step-by-step plan for submitting a dissertation.
  • After the Examination Board is composed by the Faculty Council, the Faculty Student Administration (FSA) updates the status of the dissertation in Plato, after which all those involved are notified of the next step in the process.
  • If a member of the Examination Board wishes to attend one of the meetings through video conferencing, you notify the administrative supervisor responsible and the chair of the Examination Board. To do so, you contact Peter De Smet at logistiek.lw@ugent.be (for sessions in the Groot-Brittanniëlaan or Abdisstraat, contact Peter Velaerts at peter.velaerts@ugent.be). You communicate the received video link to the relevant members of the Examination Board and also fill in the received video link in Plato.
  • You chair the Examination Board during the first and second session. You ensure that the procedures and all the regulatory stipulations are correctly implemented during both sessions. As chair, you have the right to vote and oversee the voting process during the sessions. There are some specific criteria for an article-based doctorate.
  • You upload the attendance register and the report of the first session and the second session (public defence) in Plato via the link you receive by mail. Do not forget to click ‘save’ at the bottom of the report.
  • Before the public defence, collect the diploma, beret and small gift from the faculty at the Faculty Student Administration (FSA).
  • You publicly announce the examination decision immediately after the deliberation, following the second session. A candidate is declared passed or failed. No grades of merit or congratulations are awarded. In case of a positive decision, you invite the doctoral student to take the pledge of scientific integrity (taking the pledge is not obliged, however). After this, the doctoral student receives the diploma, a beret and a small gift from the faculty.
